Facilities Officer (3 month FTC)
HOW WILL YOU MAKE AN IMPACT?
As a Facilities Officer, reporting to the Head of Facilities, you will be ssupporting both our office locations as well as boutiques. Ensuring organizational effectiveness and efficiency you will be responsible for organizing and executing office operations, administration & procedures.
Key responsibilities:
Office & Site maintenance- Ordering and monitoring stock for stationery items and general supplies
- Maintain and equip all office pantries
- Responsible for the maintenance of all office equipment and for ordering necessary office supplies/equipment
- Implement where ever relevant the “Reduce, re-use, recycle” concept
- Responsible for specialist cleaning (workplace disinfection, carpet cleaning, window cleaning)
- Ordering and upkeeping of cleaning and general supplies
- Monitor, action and manage incidents and requests from Facilities requests Tool
- Escalation of urgent and complicated request to Head of Facilities
- Monitor and prepare reports for the ServiceNow tool
- Analyze reports and suggest points of improvement
- Act as a Project Manager for office moves and changes
- Manage projects to improve facilities operations e.g.
- Opening and closing new (temporary) office locations
- Setting up new facilities services
- Manage improvement initiatives & projects focused on soft services, like cleaning (reduce waste, improve quality of cleaning), catering (increase number of users, feedback)
- Event management; organise venues, catering, invitations and preparations
- Welcome and train Facilities trainees & new team members
- Registration and planning of visitors and contractors
- First point of contact for suppliers and partners and service providers like Join Program, to ensure effective partnerships and communication
- Monthly review and progress meetings
- Monitor SLA’s & KPI’s on performance and targets on a quarterly basis
- SAP invoice check & approval
- PO creations for our Facilities vendors
- Monitor budget via monthly YTD
- Propose cost saving initiatives.
- Bachelor degree in Facility Management or Hospitality
- Previous similar experience
- Good knowledge of MS Office, SAP experience.
- Fluency in English, both verbal and written. An addition of Dutch fluency would be preferable.
- Customer focus, solution oriented, proactive, time management skills
Please note this is a 3 month contract starting as soon as possible.
