WHAT WE NEED
We're looking for a dynamic and organised Warehouse & Logistics Executive to take care of all things shipping related. We really do encourage everyone to proactively step outside of their job description if they see something that could be improved, but the core of your role will involve:
Full ownership of fulfilment shipping processes:
- End to end ownership of the fulfilment process, including preparing sales overviews, booking shipments and preparing shipping documents
- Cross-functional collaboration to manage fulfilment shipping rates and ensure we're accurately charging collectors for the fulfilment of their orders
- Supporting collectors with resolution of issues related to shipping and customs, and escalating more complex issues to the customer support team
- Support cross-functional teams in estimating shipping and fulfilment costs
Coordination of internal & fine art shipments:
- Full ownership of relationship with global network of shipping partners
- Coordination of high value art shipments between producers, artists and our warehouse, including preparation of shipping documentation to ensure smooth processing through customs (shipping invoices, POA's, customs documentation, statements of contents, exhibition lists, shipping lists)
- Cross-functional support with third-party signings and special events, including arranging insurance and art handlers for signings / installations, as well as any other logistics support where needed
Database & records management:
- Meticulous management of internal records, both physical and digital, including managing internal inventory of editions available for sale
- Updating internal shipping trackers and tracking shipping costs for finance team and artist breakdowns
- Managing deadlines and important dates across various project management tools to support team planning (including Wrike & Airtable)
The main skills we're looking for are:

- A self-starter able to work independently: you know how to prioritise and plan your day to ensure we deliver on time
- Strong communication and relationship building: you use your excellent communication and interpersonal skills to work sensitively with a diverse range of artists and their studios, adjusting your approach to suit each way of working. You work well independently but are also a strong team player who is willing to
We think you'll probably have:
- Excellent verbal and written communication skills and the ability to present information in a clear and concise manner
- Some experience in logistics and shipping of high-value, luxury products is a plus!
- Basic knowledge of import and export management and customs processes
Good to know:
- The Warehouse & Logistics Executive is expected to be on site 5 days a week.
