As an Executive Assistant, you’ll be an essential part of the leadership team, directly supporting the CEO and coordinating with the broader leadership team to ensure smooth operations and high productivity. You’ll handle complex scheduling, travel arrangements, and event management, helping create an efficient environment that enables our leadership to focus on Stokke’s mission.
With the added responsibility of managing the Amsterdam office, you will contribute to maintaining a welcoming and organized workspace that reflects Stokke's values.

We’re looking for a proactive, self-starting Executive Assistant who brings calm control to a fast-paced, dynamic environment. A skilled communicator and relationship builder, you’re adept at managing competing priorities, making swift adjustments, and fostering positive interactions across all levels of the organization.
With high energy and a humble approach, you handle complex scheduling, coordinate events, and can take ownership of projects such as office moves. You’re fluent in both English and ideally Dutch, comfortable with ambiguity, and highly experienced in project management, making you a steady anchor for the team.

Key Responsibilities:
CEO’s Agenda Management:
- Manage the CEO’s schedule, including appointments, meetings, and travel arrangements.
- Optimize productivity by prioritizing and scheduling tasks and preparing documents for meetings.
Leadership Team Support:
- Organize and coordinate leadership team meetings and events, working closely with the Chief of Staff.
- Prepare meeting agendas, take minutes, track action items, and liaise with board members and stakeholders.
- Maintain confidentiality and professionalism in all interactions.
Travel Management:
- Handle all travel arrangements for the leadership team, including accommodations and itinerary planning, with Egencia administration.
Office Coordination:
- Ensure the Amsterdam office is organized, stocked, and welcoming.
- Oversee office maintenance, repairs, and vendor coordination.
- Serve as the point of contact for office-related inquiries.
- Handle incoming and outgoing mail two days per week; assist with local operational initiatives.
Requirements:
- Bachelor’s degree in business administration or related field (preferred).
- Proven experience in executive assistance and office coordination.
- Project and event management experience, with proficiency in MS Office.
- Fluency in English and understanding of Dutch would be benneficial.
- Strong organizational skills, discretion, and the ability to maintain confidentiality.
